How to write a professional resume

A strong resume helps a reader understand what you can do and why it is relevant to the role. Start with accurate information, then organise it so the most useful evidence is easy to find.

Start with the job description

Read the responsibilities and required skills before drafting. Identify which requirements you can support with your experience, education or projects. Use familiar wording from the role when it accurately describes your background, and avoid adding terms simply to repeat keywords.

Keep a longer record of your work separately, then select the most relevant material for each application. Follow any instructions about document length, format or required information.

Choose clear resume sections

Additional information can include relevant certifications, languages or awards. Leave out sections that add no useful evidence. If you are just starting your career, our fresher resume guide covers projects and education in more detail.

Turn duties into clear contributions

A useful experience bullet explains an action, what you worked on and the result or purpose. Start with a specific verb such as organised, designed, analysed, resolved or tested. Explain your individual contribution rather than claiming everything the organisation achieved.

Vague: “Responsible for customer service.”

More specific: “Resolved customer enquiries across email and chat, documented recurring issues and shared them with the product team.”

If you have evidence of an outcome, add it. For example, a measured reduction in response time can make a bullet more concrete. Never invent a percentage, client count or revenue figure to make a sentence sound stronger.

Write a concise professional summary

Use two to four focused sentences. State your area of work, relevant experience and strengths. Avoid repeating your entire experience section or making broad claims such as “expert in everything”. A career change summary can explain how existing skills connect to your target role.

Check dates, names and links

Use a consistent date format across entries. Check the names of organisations and qualifications, and make sure a portfolio link opens the intended public page. Use a professional email you can access. Remove example contact details and placeholder achievements before purchasing an export.

Choose a readable design

Pick a layout that supports the content. Our Classic, Editorial and Modern templates provide different visual treatments with the same core sections. Keep the accent colour restrained, avoid shrinking text to squeeze in unrelated content and inspect long entries for awkward page breaks.
